Summary

Working closely with the team in Programs, the Programs Assistant plays an important role in supporting the day-to-day activities of various core programs and key program events, which includes delivering on curriculum logistics, addressing administrative needs, building strong communication and relationships with our CFC residents and guests/mentors, and providing support to the application and selection process across all programs.

Accountabilities/Responsibilities

Support the department’s logistical and administration needs in delivering its programming:

  • Participate in weekly department meetings to discuss upcoming sessions, review required logistical needs and materials, and confirm a clear plan of action in terms of implementation
  • Facilitate all room bookings and set-ups both within and outside CFC venue/facilities as needed
  • Handle all program-related travel booking and catering needs
  • Set up and coordinate day-to-day shared calendars for CFC residents and staff
  • Track and follow up on guest/mentor contracts, invoices and donations in kind
  • Build day-to-day schedules for the CBC Actors Conservatory and Slaight Music Residency, and act as a key liaison to residents in both programs
  • Assist with updating information on the CFC website as needed (e.g., program pages, alumni and resident profiles)

Support the application, selection and recruitment processes for programs and marketplace initiatives:

  • Update online application forms and compile submission materials
  • Monitor program inquiries, ensuring they are addressed in a timely manner along with the Programs Manager and Programs Coordinator
  • Assist the Programs Coordinator throughout the selection process
  • Organize selection logistics, including building individual interview schedules and supporting all travel/hospitality needs as required
  • Maintain applicant details in Salesforce

Assist Programs Coordinator with CFC Showcases and programs-related external events:

  • Facilitate check-in/registration process, ensuring event materials are onsite, and liaising with volunteers and the CFC Events team as needed
  • Support the CFC evite process by generating guest lists, sending out evites and tracking RSVP numbers
  • Assist with delivery of promotional materials and post-showcase website updates

Qualifications

  • Relevant degree or diploma in arts management or a related field
  • Ability to work as an effective member of a team
  • Ability to multitask with accuracy and manage time within a fast-paced environment
  • Strong interpersonal and professional communication skills, written and verbal
  • Positive attitude
  • Ability to organize, follow up, plan, prioritize and problem-solve
  • Computer-savvy and proficient with Microsoft Word and Excel, Adobe Acrobat Pro, and Outlook
  • Experience with web content management systems is a plus
  • Commitment to and experience working with artists and their development also a plus
