About the Position

Working closely with the Programs Department Admin team, this full-time Program Assistant plays an important role in supporting the day-to-day activities of various core programs and key program events at the CFC, which includes delivering on curriculum logistics, addressing administrative needs, building strong communications and relationships with CFC residents and guests/mentors, and handling recruitment and the application processes.

Key Responsibilities:

  • Supporting the Program Department’s logistical and admin needs in delivering on programs, which includes:
    • Understanding curriculum priorities and objectives
    • Setting up and maintaining shared calendars for all residents
    • Building day-to-day schedules for CBC Actors Conservatory and Slaight Music Residence
    • Collecting and disseminating prep materials for workshops/session
    • Anticipating resident and mentor questions and needs
    • Issuing and tracking mentor/guest contracts and donations-in-kind
    • Facilitating program-related travel and facilities/room bookings/workshop setups

  • Handling the recruitment, application and selection processes for programs and marketplace initiatives:
    • Maintaining up-to-date information on the CFC website
    • Being proactive in terms of program inquiries and community outreach opportunities
    • Processing applications while establishing positive and clear communication with applicants
    • Building and implementing interview schedules
    • Organizing all travel and following up on contracting and logistical needs as required

  • Acts as Programs Department Liaison for Showcases and program-related external events:
    • Booking showcase venues and working closely with the events team on reception details
    • Facilitating the invitation and RSVP process
    • Handling volunteer and check-in process
    • Assisting with delivery of promotional materials and post-showcase website updating

Qualifications

  • Relevant degree or diploma in arts management or a related field
  • Ability to work as an effective member of a team
  • Ability to multi-task with accuracy and manage time within a fast-paced environment
  • Strong interpersonal and professional written and verbal communication skills
  • Positive attitude
  • Ability to organize, follow-up, plan, prioritize and problem-solve
  • Computer savvy and proficient with Microsoft Word and Excel, Adobe Acrobat Pro, and Outlook
  • Experience with web content management systems is an asset
  • Commitment to and experience working with artists and their development is also an asset
